Budget alerts
Applies to Workletto 1.x.
When a project’s time reaches 80% of its budget, and again when it reaches 100%, admins and managers are told. The Projects page shows a badge, and, if your app can send email, they also get an email.
Alerts need a budget: on a project, open Settings and, under Budget, choose Total hours or Total fees (billable amount) and enter the amount.
When an alert fires
Section titled “When an alert fires”- Each level once. The 80% alert and the 100% alert are each sent once. If a project jumps straight past 100%, only the 100% alert is sent.
- Hours budgets count all the project’s time, billable or not.
- Fee budgets count the billable amount: hours times the project’s hourly rate, or each person’s own rate if the project is billed that way.
- A running timer counts toward an alert once it is stopped. The project page and the budgets report already include it, up to the moment you look.
Workletto checks whenever time on the project is added, changed, deleted or stopped, when the project is edited (its rate, for example), and when a person’s hourly rate changes. Importing time updates the badges but sends no email.
Where you see it
Section titled “Where you see it”- Projects page: an amber “Over 80% of budget” badge after the project’s name, or a red “Budget used” badge at 100%. Only admins and managers see these; members never do.
- Project overview: the Budget box shows the share used as a percentage, with a bar that turns amber from 80% and red over 100%. Under it the amounts say “(past the 80% alert)” in amber, or “(over budget)” in red once the budget is exceeded.
Who gets the email
Section titled “Who gets the email”Active admins and managers who have a sign-in, and only when email is set up. Each email names the project and client, says how much of the budget is used (“has used 80% of its budget: 40:00 h of 50:00 h”) and links to the project. When one change reaches several projects, they come in one email. Archived projects send nothing. Without email, the badges still show.
Changing the budget
Section titled “Changing the budget”Changing a project’s budget never sends an alert. The badge updates to match the new budget.
Starting again
Section titled “Starting again”If a project drops back below a level, because time is deleted or the budget is raised, that level is armed again and will send again the next time it is reached. Dropping below 80% re-arms both levels; dropping from 100% to between 80% and 100% re-arms only the 100% alert.
