Company-wide tasks

Applies to Workletto 1.x.

Instead of adding tasks such as Design, Project management and Meetings to every project by hand, keep one list for the whole organization. Admins and managers manage it in Manage, then Tasks. Members don’t see this page.

Manage, Tasks: the organization's common tasks

Each project keeps its own copy of a task. Renaming or deleting a task in the company list never changes the tasks that projects already have.

  1. Open Manage, then Tasks.
  2. Enter a Task name (up to 200 characters).
  3. Leave Add to new projects ticked if every new project should start with it, or untick it.
  4. Click Add task.

Two tasks can’t have the same name, ignoring capitals: Workletto says “There’s already a task with that name.”

The list has two groups:

  • Common tasks: “Added to every new project.”
  • Other tasks: “Added to projects only when you choose.”

When anyone creates a project, it starts with a copy of every common task. Projects that already exist are not touched.

Each row has a More actions menu:

  • Rename: change the name and click Save. Projects keep the old name.
  • Make common or Stop adding to new projects: moves the task between the two groups. It affects only projects created from then on.
  • Add to all projects: copies the task onto every active project that doesn’t already have a task with that name (ignoring capitals). Archived projects are skipped. Workletto then says “Added to 3 projects.” or, if there was nothing to add, “Every active project already has it.” You can run it again safely.
  • Delete: asks “Delete” followed by the task’s name, and “Projects keep their own copy.” After you confirm, the task is removed from the list.

A task that only one project needs belongs to that project. Open the project, then its Tasks tab, to add and change them. Anyone on the project can do that. On the Time screen, once you choose a project, a link under the Task list in the entry form, Edit this project’s tasks, goes to the same tab. Admins and managers also see a line on that tab pointing back to Manage, then Tasks.

Tasks are what people choose in the Task list when they track time on a project. See Submit your timesheet for how time is tracked.
